Terms and Conditions for Individuals

from 1-8 clients or no more than 4rooms

In order to assist with your booking and ensure an efficient service we would like you to be aware of our terms and conditions. When you make a booking with Bespoke Trips you are confirming that you understand and have accepted [on behalf of yourself and all members of your party] the terms and conditions laid out on these pages. Once you have made the booking, the following terms and conditions come into force. We aim to facilitate and maintain flexibility where possible, as we understand the complicated nature bookings especially for group. However, your assistance would be appreciated in regard to the following.

BOOKINGS
1. You will need to provider the following information in order to start to work in your booking:

a. Dates and Destination that you would like to stay
b. Full Name of each passenger
c. Date of birth of each passenger
d. If you have any Budget in mind for your trip
e. Passport Details including Nationality
f. Please provide us with planned flight details in order to quote accurately for transfers
g. Any other information that would be important to know (kind of accommodation that you prefer, twin rooms, non-smoking requirement, disabilities, special meal requirements, health problems, etc.)
h. Any special interest that would like us to highlight in your trip

2. We will check availability immediately upon receipt of your request; however we will only make provisional reservations once the itinerary has been signed off.
3. A 20% deposit needs to be paid once the clients confirm the trip. The 70% payment balance will be due 4 weeks in advance of the trip.
4. If you are travelling in the following 4 weeks, your holiday must be payable in full at the time of booking.
5. Last minute passengers and program changes (4 weeks before the arrival) will be accepted but subject to availability. These changes will not include any fee.
6. All monies are payable by bank transfer to our bank account.
7. All bank charges related to bank transfers are payable by you, the client.
8. The amount paid via bank transfer should be equal to the invoice.

FINAL PAYMENT

The payment balance will be due 4 weeks in advance of the trip and it will be specified into the invoice sent to the clients. If the payment has not been received according to the terms Bespoke Trips reserves the right to cancel your booking and to apply the relevant penalties.

CHANGES REQUESTED BY THE CLIENT

Once the booking is signed off and paid, all the services included are already confirmed and paid to the providers (4weeks before clients' arrival). Then any change requested by clients is subject to a cancellation penalty. All changes are subject to the tariffs/price list of the new products booked based on the original date of the booking.
Once you arrive to Cuba you are able to do minor changes in your itinerary with your Concierge at the Meet and Greet. Those will be subject to availability and additional cost.

INSURANCE

We recommend to all passengers that they take out travel insurance when they make their booking, for Bespoke Trips does not take responsibility for problems relating to health or in unforeseeable circumstances which could incur injury to travellers or loss of baggage.

DOCUMENTS

The traveller is responsible for obtaining, on his own behalf, all the required documentation by the relevant authorities. The customs, air lines and immigration officials could deny entry or exit of their countries under any circumstance. Bespoke Trips is not responsible and will not reimburse any money lost. The traveller is also responsible for obtaining the relevant travel information, including itineraries, airlines and hotels.

PRICE LIST

All costs are quoted in Euros (EUR) if not stated otherwise. Bespoke Trips reserves the right to change the prices published without prior warning or apply taxes established by the government, as well as costs relating to transport or extra costs due to fluctuations of fuel prices or exchange rates for travellers. In the case that Bespoke Trips reduces its prices, the revised rates will only be valid for new bookings. The rates reduced previously could increase without prior warning and are only valid with new bookings.

HOTEL SERVICE

The quality of the hotels has been established in agreement with the normal standards for the destination and could vary with respect to the standard applicable in other countries. The service could be interrupted at any time for renovation, maintenance or construction work. Bespoke Trips is an intermediary and is not responsible for the quality of hotels or for interruptions to the service. However we always will do our best to sort out any last minute problem in hotels through your concierge and the hotel manager.

TOURS AND ACTIVITIES THAT ARE NOT ATTENDED

Bespoke Trips is not responsible for any unused portion of your trip or tour services and will not reimburse any money. The non-fulfilment of components of the trip such as the pre-agreed itinerary could provoke losing that component for which no money will be reimbursed. We are not liable for any optional activity or trip sold locally, since Bespoke Trips does not operate those services.

BROCHURE DESCRIPTION AND REPRESENTATION

The accuracy of the information and photos included in our brochure has been checked. However, due to their being merely descriptive, Bespoke Trips is not responsible for any unforeseen change or loss of enjoyment. All the photos in the hotels are published as illustrations of the property only. The majority of the hotels offer a variety of room types as regards décor, size and location.

FORCE MAJEURE

Bespoke Trips is not responsible for complaints, loss, prices, expenditure, delays or loss of enjoyment or acts of nature that may affect the traveller, travel companions or other members of the group, which result in events beyond the control of Bespoke Trips or a supplier, including natural disasters, strikes, or any workforce dispute or interruption, war, blockades, insurrection, demonstrations, earthquakes, climatic conditions or acts or restrictions imposed by the governmental authorities.

SPECIAL REQUESTS

Bespoke Trips shall not be made responsible for non-granted Requests such as sea view, special meals and bed linen. The hotel could demand Extra charges. Bespoke Trips will not confirm any request before departure.

ARRIVAL AND CHECK OUT OF THE HOTEL

All hotels have arrival and check-out times. It is possible that your room may not be available when you arrive at the facility. The hotel could ask you to clear out of the room before your planned departure time.

DISABLED TRAVELLERS

Disabled travellers must present a medical certificate that authorizes their ability to travel. Bespoke Trips is not responsible for providing any special service for persons with physical or mental disabilities. Many hotels are not equipped to attend disabled travellers; hence the trip to these properties will be at the risk of the traveller. However Bespoke Trips can assist with wheelchair and to tailor made itinerary according client's special conditions if you advise in advance.

RESPONSIBILITIES OF THE CLIENT

The client must accept and abide by the rules and laws of the country that he/she is visiting. If the traveller behaves in a way considered threatening to the service provider and/or to other travellers, the service provider has the right to withdraw the service and expel him/her from the hotel. In this case, the traveller is responsible for all costs and will not receive reimbursement for the portions of the trip not yet carried out.

RESPONSIBILITIES OF THE TOUR OPERATOR

Bespoke Trips makes relevant arrangements with independent companies and is not responsible for any act or omission committed by these organizations. Bespoke Trips will not take responsibility for any loss, injury or lesion, whether physical or mental, or to the property, resulting from any delay, replacement or deficiency in the quality of equipment or services, or any action, omission, negligence or commission of any party that supplies services or lodging. We reserve the right to reject any booking and reject any traveller who is a member of these trips at any time. No representative or company is authorized to change or cancel the contract once the booking has been made.

Terms and Conditions for Groups

For group's quotations and bookings we would need also the following details:

GROUP BOOKINGS

1. Please provide an estimate of singles and doubles for an initial quote that is as accurate as possible
2. Tour leaders are included in hotel accommodation when there is a min. of 20 PAX
3. We will check availability immediately upon receipt of your request; however we will only make provisional reservations once the itinerary has been signed off.
4. A 30% deposit needs to be paid 3 months in advance of the trip.
5. Final numbers, rooming list and flight details need to be confirmed 8 weeks in advance.
6. The 70% payment balance will be due 8 weeks in advance of the trip.
7. Last minute passengers and program changes (8 weeks before the arrival) will be accepted but subject to availability. These changes will not include any fee.
8. Additional passengers (8 weeks before) are payable in full.
9. All monies are payable by bank transfer to our bank account
10. All bank charges related to bank transfers are payable by you the client
11. The amount paid via bank transfer should be equal to the invoice

Cancelation Policy

CANCELATION POLICY FOR INDIVIDUALS (from 1-8 clients or no more than 4rooms)

If you decide to cancel your holiday you must notify us of the decision by email as soon as possible. The charges payable depend on the date upon which the notification of cancellation is received by Bespoke Trips sales department and apply to all the products that have been booked.

Bespoke Trips reserves the right to resell the cancelled services. If the cancellation of one or more people alters the room category, the remaining passengers will be responsible for the difference in price.

If we receive your cancel written notification:

- More than 30 days prior to your arrival: your payment will be reimbursed minus a 5% administration fee.
- Less than 29 days before 11days to your arrival: 30% cancellation fee will be applied. If you agree to move your trip back in the time we would apply a 10% administration fee and to move the trip for the new dates. The balance of 20% will be filed as a credit note for the new date trip.
- Less than 10days and before 3days to your arrival: full cancellation charges will apply. We cannot guarantee any reimbursed from the providers, but we can try to reduce your loss trying to manage the situation with the providers. Bespoke Trips does not take responsibility for their final decision.
- Less than 2days to your arrival: full cancellation charges will apply. It may not be possible to cancel the booking and receive any refund as it would be considered a NO-SHOW by providers.

Items that once confirmed and paid will never be reimbursed:

- Internal flights
- Tropicana or Buena Vista Social club live show
- Administration Fee

Bespoke Trips will not pay any compensation for changes provoked by war or threat of war, demonstrations, civilian protests, terrorist activity, industrial disputes, natural or nuclear disasters, fire, epidemics or risk of health, technical problems with transport including for mechanical or climatic reasons, hurricane, governmental actions, closed or congested airports and similar events that are beyond our control.
All the last minute changes in your itinerary once you are in Cuba are suggest to availability and if it incurs in cancellations of confirmed and paid services, those are not refundable.

CANCELATION POLICY FOR GROUPS (more than 8 clients or 4 rooms)

For group's cancelations once the group was confirmed and a deposit paid. If we receive your cancel written notification:

- More than 76 days prior to your arrival: 3% administration fee will be applied.
- Less than 75 days and more than 40 days prior to your arrival: 20% of cancellation fee will be applied. If you agree to move your trip back in the time we would manage with the providers to apply only a 10% administration fee.
- Less than 39 days and more than 20 days prior to your arrival: 40% administration fee will be applied.
- Less than 19 days and more than 7 days prior to your arrival: 60% administration fee will be applied.
- Less than 6days to your arrival:full cancellation charges charges will apply. It may not be possible to cancel the booking and receive any refund from providers.

Items that once confirmed and paid will never be reimbursed:

- Internal flights
